Purpose of the role

Fit-out Project Management is a role essential for HB Reavis in terms of bridging the communication between the Tenant, internal Leasing and Construction departments and facilitating the discussion about Fit-out of premises according to tenant’s requirements and feasibility from the internal perspective.

Project management

• Fit-out Project manager is responsible for delivery on-time, on budget and in agreed quality
• Understand the tenant’s needs and coordinate tenant’s Fit-out from RFP and design brief, through Project documentation, budgeting, construction and handover with responsibility to deliver on time, on budget and in agreed quality;

Participation on leasing activities

• Cooperates closely with local leasing team
• Communicates our Workspace solutions and technical issues to potential tenants
• Prepares the templates of the technical description of the tenant’s space, estimation budgets, project stepplan
• Summarizes and approves the entire bids provided to the tenant
• Participates on the preparation of leasing contracts
• Approves the schedule of Fit-out process;

Coordination of Project Documentation – Execution drawings and Permissions

• Knows in detail the Lease Agreement, Technical and Design Manual (TaDM) as well as the standards applying to the given building
• Ensures the coordination of the development of Project Documentation of the tenant through an architect/project designer of the tenant
• Approves the final Project documentation and provides it to the construction site manager for the purposes of construction realization;

Fit-out Delivery / Construction phase

• Activates the Fit-out realization immediately after the approval of the Project Documentation
• Oversees the tracking of the time schedule and in case of deviations immediately takes corrective actions;
• In case of a violation of the agreement on the side of the tenant or in case of any problems or disputes during the Fit-out phase, contacts the representative of the tenant immediately in order to ensure correction;

Control and Organization of Resources

• Holds the project cashflow and is responsible for the scope of the invoiced budget and the refunding of invoices of the suppliers based on documentation acquired from professional staff;

Construction approval and Hand-over of the premises for use

• Activates the Hand-over of premises/Hands over of the leased premises to the tenant in cooperation with the Property and Facility Management;
• Participates in the construction approval proceedings in cooperation with the Construction Site Manager.



  • Min.5 year-experience with Project management for Fit-out projects or Project development


  • University level education with a major preferably in Civil Engineering or Architecture


  • Active knowledge of English language (both written and spoken)

Other Relevant Skills

  • Practical experience with coordinating of construction engineers (Architecture, Interior, M&E, HVAC, BMS)
  • Working knowledge of Auto-CAD and MS Office suites (Excel, Project)
  • Tendering experience, Budgeting and Cost Management
  • Experience with project, tender and legal documentation
  • Experience with design process is advantageous; experience directly from construction site as well;
