Responsibilities

Responsibilities
• To provide guests with the highest standards of customer service to ensure an exceptional journey from initial point of contact to departure
• Key point of contact for all reception services and queries
• Offering beverages and informing our hosts when their guest(s) arrive
• Meeting room ownership;
• Ensuring that all meeting rooms are prepared first thing in the morning each day and cleared between meetings, making sure no paper is left in room(s) from previous clients, clearing any information on white boards stocking up pens and supplies (drinks, coffee, paper etc.)
• Assisting internal and external people with meeting room equipment (projectors etc.)
• Booking meeting rooms for internal use as and when required
• Ensuring that people vacate the rooms on time to maximise efficiency
• To upkeep the highest standards of organisation and cleanliness in the reception area and all meeting rooms
• Responsible for the upkeep of the kitchen area, including loading/unloading the dishwasher, cleaning/maintaining the coffee machine, and ensuring that enough cups/plates are available at all times.
• Answering telephone calls
• Handling of both written and digital correspondence – directing these to the correct department/staff person when required
• Receive deliveries – in line with the building’s loading bay policy
• Book couriers & taxis
• Daily checks of the UK’s generic email inbox
• Help organise bi-weekly breakfast & lunch and end of month drinks socials
• Liaise with the Building Management and Facilities Management teams
• Adhoc duties – reasonable requests from members of the team, such as printing or binding etc.
• Booking of travel (flights, taxis, accommodation) when requested and the Business Assistants are not available

Experience

  • Quality experience in a similar/ client facing role
