Project coordinator
We are hiring a highly organized and driven Project Coordinator to join our team. In this hands-on role, you will be a key player in ensuring the successful and efficient management of Facility Management (FM) projects across multiple countries. You will have a high level of interaction with senior stakeholders and the opportunity to make a visible impact on our operations.
What might appear on your to-do list?
- Maintain an overview of open FM topics and projects and ensure clear prioritization of what is critical vs. what can wait.
- Introduce and apply structured project management practices (RACI, risk tracking, planning, monitoring budgets).
- Ensure project documentation, tracking, and reporting standards are consistently applied across countries.
- Manage the evidence and project approach to building-related critical and special topics (e.g., sprinklers, spikes in Poland).
- Support preparation of strategic contingency and safety plans for new or emerging building-related risks.
- Lead systematic evaluation and implementation of FM software solutions.
- Assess add-on modules (e.g., waste management, AI tools) and support investment decisions by providing comparisons of solutions
- Ensure smooth matrix collaboration across departments and countries.
- Participate in regular FM activities to understand operational context and priorities.

- Proven experience in project management within a matrix organization, such as consulting, FM-related industries, or large corporate environments.
- Exceptional ability to manage multiple projects simultaneously, with an ability for prioritization.
- A technically minded individual who can quickly grasp technical criteria and decision frameworks without being a deep technical expert.
- Strong interpersonal and communication skills, able to work across countries and functions.
- Fluent English; additional CEE languages an advantage.
- Willingness to travel occasionally; the majority of the work can be done online.
