About this Role

As a Coworking Space Coordinator at HubHub, you will be at the forefront of delivering an outstanding and hospitable experience for our members. You will proactively engage with our community, addressing their inquiries and requests with attentiveness and care. By fostering strong relationships and understanding the unique needs of each member, you will contribute to a welcoming and productive atmosphere. Your commitment to professionalism and responsiveness will ensure that every interaction enhances the overall experience, making HubHub a place where members truly feel valued and supported.


Responsibilities

Proactive Member Engagement: Be the friendly face and voice of HubHub, welcoming members and promptly addressing their inquiries and requests, whether in person, over the phone, or via email. Maintain a high level of professionalism and responsiveness at all times.

Build strong relationships with both internal and external customers

Support for Community and Events Managers

Managing Bookings for External Clients

Move-In and Move-Out Assistance

Handle customer support tickets efficiently and effectively, providing solutions to inquiries and issues

AV Setup and Room Configuration

Conduct regular floor checks to maintain a clean, organized, and ready-to-use workspace

Manage the programming and distribution of access cards to members, ensuring the security and access control of the co-working space

Day-to-Day Tasks - Manage reservations and bookings for meeting rooms and workspaces. Maintain accurate records of member information. Handle mail and package deliveries for members. Coordinate with cleaning and maintenance staff to uphold high standards.

Maintenance and Health & Safety Compliance

Any other ad hoc duties as requested by the Workspace Manager.


Requirements

Experience

  • Prior experience in a customer service or hospitality industry is preferred.

Languages

  • Fluent English language

Other Relevant Skills

  • Excellent communication and interpersonal skills
  • Strong organizational and problem-solving abilities
  • Customer-focused with a passion for providing exceptional service
  • Ability to work independently and as part of a team
  • Proficiency in using office software and AV equipment
  • Familiarity with maintenance and health and safety protocols is a plus
  • Familiarity with co-working management software (e.g., OfficeRnD, Nexudus) and CRM tools is a plus.
